How to use NordPass Shared Folders feature on desktop devices

Introduction

Shared Folders are available to all NordPass Business and Enterprise members and allow secure, centralized sharing of sensitive items within an organization, making team collaboration more straightforward and more efficient. In this article, you will learn how to create, share, and manage Shared Folders in NordPass on desktop devices.

How to create a Shared Folder

  1. Open the NordPass application, Web Vault, or extension and log in.
  2. Go to the "Shared Folders" section, located on the left side, and click on the "Add new folder" button.
  3. Name the Shared Folder and click on the "Create" button.
  4. If you wish to create a Shared Folder inside of another Shared Folder, go to the "Shared Folders" section, click on the “Create” button, and choose the  “Shared Folder” option.

    Note: This feature is available only for Enterprise clients.
     
  5. Alternatively, press the “New shared folder” button while creating or editing an item.   

    Note: Max depth is 3 layers of Folders: L1 -> L2 -> L3.

 

How to share a Shared Folder

  1. Open the NordPass application, Web Vault, or extension and log in.
  2. Open your chosen Shared Folder, located on the left side, select the "Three-dots" button, and click on the "Share" button.
  3. Alternatively, if you have a Shared Folder open, select the avatar icon in the top-right corner.
  4. Enter a member's email address or a group name.
  5. Next, choose a permission level:
    • Can edit – create new items (Enterprise and Business), create new Shared Folders inside and items inside of those (Enterprise Only).    
    • Can share – share, view, and autofill items.
    • Can view – view, copy details, and autofill items.
    • Can autofill – autofill only.
       
  6. Optionally, set an expiration time by clicking the "Clock" button.

    Note: "Can edit" and "Can share" access levels are only available without an expiry time.
     
  7. Click on the "Share" button to confirm your choice.

    Note: Sharing is available only at the top Shared folder - you cannot share a specific subfolder or item within it. When a top Shared folder is shared with a user or group, they gain access to all content inside, including subfolders and their items. User and group permissions are inherited from top to bottom.

 

How to change permissions or revoke access

  1. Open the NordPass application, Web Vault, or extension and log in.
  2. Open your chosen Shared Folder, located on the left side, and click on members' avatars at the top-right corner.
  3. Locate your chosen member, and update their permissions - the ability to edit, share, view, or autofill by selecting your chosen option.
  4. Additionally, if you wish to revoke a member's access, click on the "Remove access" button and choose the "Remove access" option once more to confirm your choice.

    Note: You can only modify permissions or revoke access at the top-level Shared folder; you cannot do this for individual subfolders or items within it. Changing permissions or removing someone’s access at the top folder automatically applies to everything inside, including all subfolders and their contents, because permissions inherit from the top-level settings. Removing access at the top revokes access to all items within.

 

How to move items to a Shared Folder

  1. Open the NordPass application, Web Vault, or extension and log in.
  2. Locate an item you want to share, click on the "Three-dots" button to the right of it, and select the "Move" button.
  3. Alternatively, open an item by clicking on it, select the "More" button, and click on the "Move" option.
  4. Next, select the "Shared Folders" option, click on your chosen Shared Folder, and select the "Move" button.
  5. To move multiple items, select them by checking the box next to them, click on the "More" button, and select "Move" button.
  6. Alternatively, press the “Move to Folder” button, which appears at the bottom when at least 1 item is selected.
  7. Next, click on the "Shared Folders" option, choose your chosen Shared Folder, and select the "Move" button.

    Note: The Owner of the items can move those to a Shared Folder where the user has Owner or “Can Edit” rights. For Enterprise tier clients, as Shared Folders contains subfolders, the user with “CanEdit” rights can move the item inside of the Shared Folder, changing the location of the item, not changing the Top Shared Folder.

     

How to transfer ownership of a Shared Folder

  1. Ownership transfer can be performed only by the user who is currently indicated as the Owner of the Shared Folder.
  2. Open the NordPass application, Web Vault, or extension and log in.
  3. Locate the Shared Folder that you want to transfer the ownership of, click on the "Three-dots" button to the right of it, and select the "Share" button.
  4. Choose a member, access the member's permission tab, click on the "Transfer ownership", and select the "Transfer ownership" button once more to confirm your choice.
  5. Once the ownership transfer is confirmed, the new owner will own the top Shared Folder and all its Subfolders and items. The previous owner will remain with “Can Edit” rights to the Shared Folder.

    Note: Transferring ownership of any subfolder or specific item inside is not allowed.

 

How to delete items from a Shared Folder

  1. Open the NordPass application, Web Vault, or extension and log in.
  2. Open your chosen Shared Folder, click on the "Three-dots" button next to your desired item or Shared Folder, and select the "Delete" option. 
  3. Alternatively, click on your chosen item, select the "More" button, and click on the "Delete" button.
  4. Once the pop-up message appears, enter "Delete" and click on the "Delete" button.

    Note: Only the Shared Folder owner can delete items and Shared Folders. Deleted items and Shared Folders are removed permanently and are not moved to Trash.
